General Questions about the Agreement

  1. What is the Microsoft Campus Agreement?

  2. The Microsoft Campus Agreement—effective December 1, 2007—covers departments and students, faculty, and staff on all three U-M campuses. It provides significantly reduced prices on the following popular Microsoft products.

    • Windows Vista Ultimate upgrade
      Wiindows XP Professional upgrade
      Note: You must already own a Windows operating system license; for example, the one that came with your computer.

    • Office Enterprise 2007 (Windows)
      Office 2003 Professional (Windows)
      Office 2004 Professional (Macintosh)
      Office 2008 for Mac

    • Visual Studio Professional 2005

    • SharePoint

    Departments may also use previous versions of the software if for some reason they need those running on their machines.

  3. What about SQL Server and CAL licenses?

  4. An amendment to the Agreement provides:

    • SQL CAL licenses to all U-M students, faculty, and staff.

    • SQL server licenses to all departments and non-temporary faculty and staff at the Ann Arbor, Dearborn, and Flint campuses when used for University business.

  5. How long does the Campus Agreement last?

  6. The Campus Agreement has been effect since December 1, 2004 and has been renewed through November 30, 2010.

  7. How does the Campus Agreement differ from the Select Agreement?

  8. Under the Campus Agreement, Microsoft leases the licenses to the University. Therefore, when the Agreement ends, all software obtained under the Agreement must be removed from departmental and personal computers.

    The Microsoft Select Agreement is only available to departments and provides significantly reduced prices for all Microsoft products not included in the Campus Agreement. The licenses are perpetual, meaning the University owns the rights to the software. Unlike the Campus Agreement, the University will always be able to use the software versions purchased under the Select Agreement, and departments can upgrade to future versions as long as the Select Agreement is in effect and Software Assurance (SA, also known as maintenance) was selected at the time of purchase.

  9. What happens at the end of the Agreement

  10. Students who graduate prior to November 30, 2007 own the license to the software puchased under this Agreement. They can keep the software and also purchase upgrades, patches, and new releases through normal Microsoft channels. Your U-M Computer Showcase receipt provides proof of ownership.

    Unless the University and Microsoft enter into a new agreement, remaining students, departments, faculty, and staff must remove all software obtained under the Campus Agreement from departmental and personal computers. They can replace the software with Microsoft products that were available to the University on November 30, 2004.

  11. Does the Campus Agreement mean that I don't have to buy the Windows operating system (OS) when purchasing a new computer?

  12. No. The Campus Agreement only allows for upgrades to an already owned Windows OS version. You must already own a Microsoft operating system. For example, even if you own DOS or Windows 3.1, you can upgrade to Windows XP.

    You can, however, negotiate with your vendor to eliminate any bundled application software that is covered under this Agreement. But remember that—when the Campus Agreement ends—you must replace any products obtained under this Agreement with either a commercially-purchased product or use software available to the University on November 30, 2004.

  13. I have an Intel Mac. Can I purchase Windows XP for it?

  14. Absolutely. Microsoft has confirmed that our license is valid for installing and operating Windows XP and Windows Vista Ultimate on an Intel Mac running BootCamp or other virtual environment programs such as Parallels Desktop. Individuals can purchase both Windows operating systems at substantial savings from the U-M Computer Showcase. For departments, there is no additional cost unless you need the CD or DVD, available from ITS Software Licensing and Distribution.

  15. Can I purchase Office in languages other than English?

  16. Sorry, the Campus Agreement only covers English-language versions of Office. Departments may purchase licenses for non-English versions through the Microsoft Select Program. For complete details, please contact Software Licensing and Distribution (SWLD).

  17. What information regarding the Campus Agreement must the University provide to students, faculty, and staff?

  18. In addition to the information found on the CD-ROMs, this software is licensed by Microsoft and may only be used subject to the terms and conditions contained in the Campus Agreement License Rights contract. You cannot copy the software or transfer the license.

Questions from Individuals

  1. What does "Student Version" on the CD/DVD mean?

  2. For individual purchases, students, faculty, and staff receive media labeled "Student Version." The software can only be registered twice but is otherwise identical to the retail product.

    Note: Microsoft recognizes there may be a legitimate reason for a third registration. Refer to Installation Information for Software Purchased by Individuals for details.

  3. Why are there different license agreements for students and faculty/staff?

  4. Students who purchase a product under the terms of this Agreement and graduate prior to November 30, 2007 own the license. They can keep the software and also purchase upgrades, patches, and new releases through normal Microsoft channels. Your U-M Computer Showcase receipt provides proof of ownership.

    Assuming the University and Microsoft enter into a new agreement by December 1, 2007, students who have not yet graduated can keep using the software purchased under this Agreement. Students who leave the University without graduating must remove all products purchased under this Agreement. See also Student Acknowledgment of Conditions and Notices.

    Faculty and staff have limited—known as Work At Home (WAH)—rights. In effect, the license is owned by the University not by the individual employee. Software purchased under this Agreement is only temporarily provided for use on a personal computer as long as it is used for employment-related duties.

    Employees must remove all software obtained under the Campus Agreement from their personal computers if either of the following two conditions exist:

    • they leave the University.

    • the agreeement ends—unless the University and Microsoft enter into a new agreement.

  5. I have an Intel Mac. Can I purchase Windows XP for it?

  6. Absolutely.   7. After installing the software, I received a registration screen. Do I have to register my software?

  8. As part of this Agreement, you must register the product with Microsoft. You will receive a confirmation code that must be entered in order to keep the software working. If you do not register within a reasonable period of time, the program will cease to function until you do register it. Refer to Installation Information for Software Purchased by Individuals.

  9. If I don't register with Microsoft and the program fails to launch, what do I do?

  10. You must register the product with Microsoft and enter the confirmation code. You don't need to purchase a new CD/DVD or reinstall the product. Refer to Installation Information for Software Purchased by Individuals.

  11. On my CD/DVD, it says something about "Volume Licensing Customers not using the Product Key." What does this mean?

  12. Neither students nor faculty and staff are considered Volume Licensing Customers. You must use the Product Key. You must also register your software with Microsoft when prompted or it will stop working after a period of time. Refer to Installation Information for Software Purchased by Individuals.

  13. If I am considered both a student and a faculty or staff member, which status do I use?

  14. In terms of this Agreement, you are categorized according to your primary classification. For example, if you are a graduate student who teaches, you are considered a student because that is your primary classification. Likewise, if you are a student who is also a student employee, you are considered a student.

    Hint: If you are an employee who is also a currently registered student, it is generally to your advantage to purchase the software as a student. Students who graduate prior to November 30, 2007 own the licenses to products purchased under this agreement, while employees only receive temporary use rights while employed at U-M.

  15. What if I've just graduated or terminated my employment?

  16. You are no longer eligible to purchase software under the terms of this Agreement. You must be able to prove current student status or employment to purchase software or upgrades through the Campus Agreement.

    Students, however, who graduate prior to November 30, 2007 own the licenses to all software purchased under this Agreement. Therefore, they can purchase upgrades, patches, and new releases through normal Microsoft channels. You should visit the U-M Computing Showcase—prior to graduating—to sign a Campus Agreement Student License Confirmation which is proof of ownership.

    Faculty and staff who leave the University must remove any software purchased under the Campus Agreement.

  17. Can I purchase Office in another language?

  18. Sorry, the Campus Agreement only provides English-language versions for all covered Microsoft products.

    FACULTY AND STAFF: If you require a different language version, your department can purchase it through the Microsoft Select Program by contacting ITS Software Licensing and Distribution.

  19. When a new version is released, can I upgrade to it?

  20. While this Agreement is in effect, you can upgrade at any time by purchasing a newer version at the U-M Computer Showcase. The modest fee for the CD helps the University recover its administrative costs for maintaining the Campus Agreement.

    WINDOWS OPERATING SYSTEM: In order to purchase Windows 2000 or XP through this program, you must already own a Microsoft operating system, even if it's DOS or Windows 3.1.

  21. If I already have my own CD/DVD, can I make copies?

  22. No! Only specially authorized media is covered under the Campus Agreement. You may not use commercially-purchased software in any way that violates the license that came with that product.

  1. What products can my department purchase from the Campus Agreement?

  2. We have a list of products available to departments.

  3. What about products not included in the Campus Agreement?

  4. Microsoft products not covered under the Agreement can be purchased by departments at a discounted price through the Microsoft Select Agreement.

  5. We've purchased some Intel Macs. Can we purchase Windows XP for them?

  6. Absolutely. Microsoft has confirmed that our license is valid for installing and operating Windows XP and Windows Vista Ultimate on an Intel Mac running BootCamp or other virtual environment programs such as Parallels Desktop. Both operating systems are part of the Campus Agreement so there is no additional cost unless you need the CD, available from ITS Software Licensing and Distribution.

  7. FrontPage on the Office 2003 Professional CD (Windows) is a separate installer. It won't accept the CD's Product Key.

  8. FrontPage requires a Volume License Key, which is included on the CD sleeve. If you have questions, please send a message to lic.itcs@umich.edu.

  9. Does this Agreement allow our faculty and staff the rights to use Office in any language?

  10. Sorry, the Campus Agreement only provides English-language versions for all covered Microsoft products. Departments, however, can purchase licenses to other languages through by contacting ITS Software Licensing and Distribution (SWLD).

  11. Can I make a backup copy of my software?

  12. No. The End User License Agreement does not allow you to duplicate the CDs.

  13. Should my department purchase Software Assurance for the covered products?

  14. Software Assurance (SA, also known as maintainance) allows for upgrades to future versions of the software. Since the Campus Agreement provides the same benefit, we do not recommend this extra cost feature.

    Exception: If your department purchases applications, server software, or CALs under the Microsoft Select Agreement, we highly recommend Software Assurance which can only be obtained at the time you purchase the item.

  15. My department is sending some older computers to Property Disposition. How do we prepare the computers?

  16. Property Disposition specifies that all software except the operating system be removed from computers. That includes all Microsoft software installed under the Campus Agreement. It also includes any Windows operating systems that did not come with the computer. You should install the operating system the computer came with from the original discs, not from a disc purchased through this Agreeement.

Need Help?

  1. The Microsoft program I purchased for my personal computer stopped working. What's wrong?

  2. If you do not register and enter the Microsoft-provided confirmation number into your software, it will stop working after a period of time. If this happens, follow the steps in Installation Information for Individual Purchases. You don't need to purchase a new CD/DVD or reinstall the program.

  3. Office 2003 Professional purchased by departments includes FrontPage on the CD (Windows) as a separate installer. It won't accept the CD's Product Key.

  4. FrontPage included on the Office 2003 Professional CD purchased by departments requires a Volume License Key, which is included on the CD sleeve. If you have questions, please send a message to lic.itcs@umich.edu.

  5. The installer gives me an error message when I try to enter the Product Key code.

  6. There does seem to be some inconsistency between computers, and we know it's frustrating. The Product Key code on the CD is correct, and we assume you have unsuccessfully tried to enter it using all upper case characters as the label suggests. When this fails, people like you have had success by entering the code in any of the following ways:

    • If the installer provides a SetUpPro icon, you must select it instead of any other option.

    • Enter the code into another application such as Word or Notepad so that you can check your entry for errors. Then copy and paste it into the Product Key code field.

    • Enter the code in all lowercase characters.

    • When entering numbers using the numeric keypad, try it with Num Lock engaged or not, depending on how you previously entered the code.

    • Enter the numbers using the numbers above the alphabet keys rather than the numeric keypad.

    • Try the previous suggestion but with the Caps Lock key engaged.

  7. After updating a program through Microsoft's website, the program requires a product activation code, but the Product Key code does not work.

  8. Some Microsoft programs require that the original disc be installed in the CD drive. If you experience this problem, we recommend you uninstall the program then reinstall it. After reinstallation, leave the original CD in the CD drive and immediately update the program.
